About the Role
We’re looking for an organised, tech-savvy Healthcare Administrator with proven HubSpot experience to support our non-clinical team.
You’ll help maintain accurate client data, streamline workflows, and create dashboards and reports that drive operational efficiency across our telehealth business.

About the Role
We’re looking for an organised, tech-savvy Healthcare Administrator with proven HubSpot experience to support our non-clinical team.
You’ll help maintain accurate client data, streamline workflows, and create dashboards and reports that drive operational efficiency across our telehealth business.
Key Responsibilities
- Build and maintain HubSpot workflows, dashboards, and reports to support internal teams
- Manage general enquiries, client bookings, and email communications
- Raise and process client invoices and billing documentation
- Keep CRM systems (HubSpot and Cliniko) accurate and up to date
- Assist with headset setup, refurbishment, and software updates (training provided)
- Support day-to-day operations in a hybrid, multi-disciplinary team environment
What We’re Looking For
- Proven HubSpot proficiency (workflows, dashboards, automation, reporting)
- Previous experience in healthcare or medical administration (NDIS experience a plus)
- Excellent communication and relationship-building skills
- Strong organisational and time-management abilities
- Proficiency in Office 365 and CRM systems (Cliniko desirable)
- Positive “can-do” attitude and a willingness to learn
- Must be based in Melbourne with full working rights in Australia
- Current Australian driver’s licence and ability to attend the Vermont office as required
